GATEWAY Records Management

Confidential, Comprehensive Records and Data Management

If you had to, how easily could you produce critical records from 1995 in an hour, could you? Or would you need your entire staff to dig through boxes in attics, basements, garages, mini-storage units, etc.?

We all recognize the value of retaining information and documentation, but how many businesses can afford the time, staff or floor space to establish and maintain meaningful record storage and management -the kind that would enable us to consistently retrieve any document in minutes?

At Gateway we help ensure records are organized, accessible and safe. As the area's most professional and modern commercial records center, we specialize in offsite storage and management of business documents. We use a state-of-the-art bar code system and software designed specifically for records management to insure accurate inventory and retrieval.

The Life Cycle of Records
Records take many forms - documents, disks, microfilm, ledgers and other books, x-rays, evidence (which can be anything), etc. Records can be as universal as business letters or unique and specific to a given industry.

Only you, your accountant and attorney can determine how long you need to retain what records.

Typically records go through a three-stage life-cycle:

ACTIVE describes the period when it is necessary to frequently refer to the records.

INACTIVE records are kept for occasional reference or for legal reasons. Government regulations alone can add years to this period.

DISCARD is what SHOULD happen when records are no longer needed. This could mean destruction, depending on the nature of the records.
